KB0049 – Marking a Homeroom Roll (‘Attendance’)

Marking HomeRoom Rolls with the Attendance Module

1. Login to the school network with your username and password.

2. Open a browser and go to the Sentral homepage (https://sentral.oakhill.nsw.edu.au)

3. Click on the Sentral Attendance (top-right of screen) icon.

(note: if this icon is not already a shortcut for you, click on the blue Sentral navigation icon (top left of window) and then click on the Attendance icon from there).

5. If prompted to login again, enter your username and password in the Sentral login window and perform step 3.

 

You are now presented with the HomeRoom roll and you can mark it (see details in ‘Notes’ section below)

IMPORTANT: when you have finished marking the roll you must then submit it. The process is not complete until you click the ‘Submit’ button at the bottom of the marking column.

… and please note: you cannot submit rolls in advance so the ‘Submit’ button will only appear for current and past days’ rolls only.

Notes:

a) The HomeRoom rolls for the entire week are presented on the screen (Monday – Friday). Make sure you select the right day when marking your roll.

b) By default, all students are marked as present. That’s what the little green dots represent.

c) To mark a student absent, click on the green dot for the absent student and fill out the information prompted by the dialogue box that opens.

As a result, the green dot next to the absent student’s name changes to a red box with relevant absence information in it.

The red circle with the number inside it is a progressive count of the days absent for the student.

Shortcut: for any whole day absence which is unexplained you can just double-click the green dot and not worry about the dialogue box.

d) If you make a mistake or for any reason need to undo a marked absence, click on the red box next to the student’s name and then click on the ‘Remove’ button in the dialogue box (see screenshot below).

e) The ‘X’ at the top of the column for each day signifies that you have not yet submitted your roll for that day.

f) When you do submit your roll, the ‘X’ changes to green tick and a locked padlock, like so:

The tick indicates that the roll has been submitted, and the padlock indicates that the roll is now locked to prevent accidental changes to it.

g) If you now want to deliberately make changes to the roll – for example, to change an unexplained absence to an explained absence – you have to unlock the roll. To do that, just click on the padlock and it will change from locked, to unlocked, like this:

You can now proceed to make the changes you need to make.

When you are finished, click on the padlock again to lock and protect the roll.

h) There is a button at the top-right of the Roll Marking page which is labeled ‘Print Roll’. You can click that button if you want to get a hard copy of your roll.

i) The very bottom-left of the Roll Marking page displays short-hand statistics for the rolls you have taken. For any day you can see at a glance how many students were present, how many were away and the breakdown of explained and unexplained reasons for marked absences.

However, these statistics will only appear after you have submitted your roll.
